GDS ACCOUNTANTS LTD Computer Integrated Accounting Systems

Accounting, Tax and Payroll Services

GDS ACCOUNTANTS LTD provides computer integrated accounting, tax preparation, bookkeeping and payroll services to companies, partnerships and sole traders across the United Kingdom, working from 71-75 Shelton Street, Covent Garden, LONDON - WC2H 9JQ. This page sets out the six core engagements of the practice in full.

Annual Accounts Preparation

Statutory accounts are the formal record of how a business performed and what it owns and owes at the close of its period. We prepare them from a reconciled ledger, not from a bag of receipts delivered at the last minute. The work covers the statement of financial position, the profit and loss account, the notes that explain the figures and, where required, the directors report. For companies that qualify we prepare accounts under the small companies regime, which keeps disclosure proportionate while remaining fully compliant. Before anything is filed we walk you through the movements that matter, compare the year against the previous one, and confirm the accounting policies that have been applied. If a figure needs a judgement, we document the basis for it so the file still makes sense years later.

The same discipline applies to partnerships and sole traders, where we prepare accounts in the format that feeds directly into the partners or proprietor self assessment returns. Accounts, tax computations and returns are prepared as one connected piece of work, which removes the duplication and inconsistency that arises when each document is produced in isolation.

Self Assessment and Personal Tax

Personal tax work begins with the income and gains that actually arose, and ends with a return that can be defended line by line. We prepare and submit self assessment returns for company directors, landlords, contractors, sole traders and individuals with investment income. The engagement includes the SA100 and whichever supplementary pages apply, a review of allowable expenses, reliefs and allowances, and a clear statement of the resulting liability together with the dates on which it falls due. Where payments on account apply, both instalments are set out so that cash flow is never a surprise.

We also handle the practical questions that follow a return: amending a filing that contained an error, dealing with an enquiry or a request for information, and planning the following year so the position improves rather than repeats. Dividend and salary mixes, pension contributions, capital allowances and the timing of disposals are all considered as part of the planning conversation.

Bookkeeping and Ledger Management

Good bookkeeping is not administration; it is the instrument panel of the business. We import and categorise bank, card and cash transactions, match them against invoices and receipts, reconcile every control account and clear the queries while they are still small enough to resolve quickly. Sales and purchase ledgers are aged so you can see exactly who owes you money and which supplier payments are approaching. VAT treatment is applied at the point of entry, which turns the quarterly return from a research project into a report.

At the close of each period you receive a reconciled trial balance and a short written commentary on anything unusual, whether that is a margin that moved, a cost that grew or a debtor that has gone quiet. Because the ledger is maintained continuously, year end accounts become a confirmation of numbers you have already been using, rather than a discovery exercise.

Payroll and Workplace Pensions

We run payroll end to end. That includes setting up employee records, applying the correct tax codes, handling student loan plans, processing statutory sick pay and family leave, and making the full payment submissions that keep HMRC informed each period. Payslips are issued securely, and a liability summary tells you precisely what to pay and by when, broken down between income tax, national insurance and pension contributions so the amounts can be posted correctly.

Workplace pension duties are handled alongside the payroll itself. We assess the workforce, enrol eligible staff, calculate contributions and prepare the declaration of compliance that must be filed with the regulator. We also reconcile the payroll control account back to the ledger, which means wages, taxes and pension costs never drift away from the accounting record and the year end figures are already complete.

VAT Returns and Compliance

VAT is unforgiving of loose record keeping, so our VAT work is built on the reconciled ledger. We prepare and submit returns under the scheme that fits the business, whether standard, cash accounting, flat rate or annual accounting, and we make sure input tax is claimed only where the evidence supports it. Partial exemption positions, reverse charge entries, cross border sales and the treatment of deposits are all reviewed as part of the process, and a working schedule is retained behind every box on the return.

Where a previous return needs correction we handle the adjustment through the proper mechanism rather than burying it in a later period. Filing deadlines are diarised in advance, payments are scheduled, and where a business is approaching a registration threshold we flag it early so the transition is planned rather than reactive.

Company Secretarial Filings

The public record of a company must be accurate, and keeping it that way is a distinct discipline from bookkeeping. We prepare and file confirmation statements, appoint and resign directors and secretaries, record changes to share capital, allotments and transfers, update registered office and service addresses, and maintain the statutory registers that a company is required to keep. Annual accounts and the confirmation statement are diarised together so that neither filing is overlooked.

When a company is incorporated, restructured, or wound up, we manage the filings that accompany the change and confirm that each has been accepted at Companies House. Every filing is copied to you with an updated register summary, so the statutory position of the company is always something you can evidence on demand.

How an Engagement Runs

Step 01

Review

We examine the existing records, the software in use and the outstanding filing position, then confirm what needs to be brought up to date.

Step 02

Scope

You receive a written scope and a fixed fee covering the services selected, with the deadlines and responsibilities set out plainly.

Step 03

Reconcile

The ledger is rebuilt and reconciled to the bank, and the outstanding returns and filings are prepared from verified figures.

Step 04

File

You review and approve the numbers, we submit the accounts, returns and filings, and you keep a complete copy of everything lodged.
